BMW | The World’s Most Advanced Engine Plant Uses Printronix Printers with Online Data Validation (ODV™) to Improve Quality Control in the Supply Chain

Profile
Known as the “world’s most advanced car engine productions plant,” the £400 million, 85-acre BMW plant at Hams Hall, near Coleshill, Warwickshire, employs 700 people in the manufacture of approximately 600 fourcylinder petrol engines, from 1.6 to 2.0 liter capacity, a day.
Situation
Each engine produced at Hams Hall is labelled with a Code 39 bar code that holds the engine serial number. Code 39, or Code 3 of 9, is one of the most popular symbologies used for identification, inventory and tracking in the automotive industry. The bar code labels, which have a touch face coating and are applied using a particularly strong adhesive, are fixed for the life of the engine.
If the bar code cannot be read properly, when the engine is despatched to a BMW automotive assembly plant in Germany, North America or South Africa, production and the plant’s automated processes can be significantly impacted.
Goals
§ To place readable, durable bar codes on each engine in order to:
o Streamline production
o Improve quality control in the supply-chain
o Enable the tracking of an engine over its entire lifetime
Results
Since initiating production, Hams Hall has been using Printronix thermal printers — six T5306s and four T5308s — with Online Data Validation to print and validate the Code 39 bar codes. The labels, which have a tough face coating and are applied using a strong adhesive, are affixed for the life of the engine.
Online Data Validation (ODV™) checks if a barcode can be properly read by the scanners validating the print quality of linear and PDF417 barcodes. It features read-after-print technology and carefully analyses every printed bar code to ensure that it meets stringent compliance standards, eliminating failures which could translate into a rejected item, the need for manual correction, productivity delays and heavy fines. If a label does not pass the validation check, it is fed back into the printer, voided and then reprinted and  revalidated.
Reaction
“We print around 600 barcodes a day and have been using Printronix thermal printers – six T5306s and four T5308s – from the start. The engines we produce go from Hams Hall to the car production plants, where the barcodes on the engines are scanned in on the production line. If for any reason they can’t read the barcode, this impacts on their automated processes. Issues like this can potentially have a significant impact. We have quality targets as part of our key performance indicators (KPIs), which could be adversely impacted by barcodes that don’t read properly. This is why Printronix’s Online Data Validation is so important to us – it has brought significant improvements.”

Budar Agency improves document access, eliminates “too many” filing cabinets

Although you can never have too many nice weather days in Hawaii, Steve Budar discovered that you really can have too much paper and too many file cabinets on the “big island.” Budar, owner of the Budar Group — an Allstate Insurance agency in Kailua Kona — had an evergrowing database of paper. “At one point, we had two rows of four-drawer filing cabinets and then ran out of room to add any more,” Budar recalls. “Then we went to a double-capacity system that gave us more filing space, but eventually we filled all of those as well.”

Budar realized that the time had come for an electronic document management system.

Seven years of thousands of documents
The average insurance office handles about 20,000 documents every year. Everything from applications, policy terms and renewal notices to claims documentation and declaration pages. And most of these records must be kept for seven years, based on state government mandates. Other offers of additional coverage must be archived for years to guard against liability claims. It’s easy to see how this volume can fill multiple file cabinets quickly. And Budar’s office — with 5,000+ commercial and consumer accounts — creates and receives considerably more documents than the typical agency.

red line

SITUATION
6-person insurance agency finds itself overwhelmed with paper documents and the storage and access problems they present.
OBJECTIVE
Implement a document imaging solution approved by Allstate to increase efficiency, security and access to documents while eliminating excessive time and dollar costs associated with the paperbased system.
SOLUTION
A DocSTAR Electronic Document Management System with a KODAK i40 Scanner
COMMENTS
“Overall, this is a very good system for us and the Kodak Scanner is a great little piece of equipment.”
~ Steve Budar, Owner, Budar Group

brown lineOnce Budar made a commitment to electronic document management, he began exploring options compliant with the Allstate policy for electronic documents. One of those systems was DocSTAR, which bills itself as “the electronic filing system that people want to use.” After being impressed with its capabilities and ease of use, Budar made the decision to go with the DocSTAR system and implementation began in June, 2006.

Up and scanning in no time
Budar’s six-person office began with an hour of on-the-phone training from DocSTAR and then they were off and scanning. “The learning curve was quite short,” says Budar. “It’s all gone quite smoothly and now one person does most of the scanning, but two others know the system.” The agency now dedicates one person to scanning current docs into the system and working on the legacy archives. The goal is to have all older files scanned into the system by February.

The office greeted their electronic system with enthusiasm. “We’re quite computer savvy and automated here,” Budar notes. “ So this really fits in with what we do. Everyone was weary of the paper-based system, the file cabinets, the documents that got misplaced and all those sorts of hassles.”

The front end of the DocSTAR solution is a KODAK Scanner. “We’ve found it very easy to use. I joked at first that it didn’t look big enough to do the job,” Budar says. “But it’s very powerful and up to the task.”

“We run it for hours at a time and we’ve rarely had a jam. I’d guess we’ve put between a thousand and two thousand pieces of paper a day through it.”

An impressive list of advantages
When asked how life has changed since e-doc came to the Budar Group, Budar ticks off a long list of positives —

  • Fast access to documents
  • Document searchability
  • Ability to simply e-mail a requested form or document to customers
  • Two or more people can access a document at the same time
  • No more misfiled or missing papers
  • No time wasted finding a folder, finding a document, copying it, faxing it and then refiling it
  • Ability to easily make a secure back-up at the push of a button (a DocSTAR system feature)
  • The reclamation of all that space previously taken up by file cabinets
  • The security of document integrity, back-up copies and file protection

“When I think about it, I come up with other cost saving advantages,” Budar says. “For example, the scanner doesn’t consumer toner and paper like the copier, so those supply costs have been cut. Plus, we use fewer file folders and labels. And the folks in the office appreciate not having to insert those little labels into the plastic holders and affix them to the file folders. It’s a system that’s made us more efficient and improved our customer service. And I have to say that our customer service was already at a very high level of performance.”

Budar’s biggest concern is whether his hard drive is large enough to handle the volume. “But that’s something that can be easily remedied through an upgrade,” he notes.

“Overall, this is a very good system for us and the Kodak Scanner is a great little piece of equipment. We’ve had no need for any service calls so far and its ability to run day after day and just keep on flying through what we feed it is impressive.”

To date, three other Allstate agencies in Hawaii have purchased the same solution featuring DocSTAR software and a KODAK i40 Scanner. “Word of mouth is the best endorsement,” says Budar. “And I have nothing but good things to say about this solution and all the benefits that it’s brought to the agency.”

University of California, Berkeley reduces expenses with the Fujitsu ScanSnap scanner

Dr. Joonhong Ahn, a professor of nuclear engineering at the University of California, Berkeley, splits his time between teaching undergraduate and graduate courses, conducting research and publishing findings, which has kept him exceptionally busy organizing the mounds of paper that have accumulated in his office. Like most educators, Dr. Ahn relied on traditional filing methods for storing paper documents. His small office was filled with rows of filing cabinets making it difficult to quickly find needed documents and keep a tidy work-space.

Frustrated by the never-ending stream of incoming reports Dr. Ahn sought to find a solution that would allow him to quickly digitize report, handouts, research and other paper documents that had to be archived but readily accessible on demand. During the first stage of his personal document management project Dr. Ahn used a flatbed scanner which forced him to scan each page one side at a time – an extremely time consuming process. Due to the time intensity of the project Dr. Ahn abandoned the scanner and the paper continued to pile up, eventually filling all of his storage space.

Dr. Ahn’s high volume of diverse paperwork (multiple page sizes, colors, graphs, etc.) motivated him to find a scanner that would allow him the flexibility to scan numerous documents at a time while working on other projects. After researching the scanner market, Dr. Ahn was impressed by the Fujitsu scanner because of its superior functionality and ease of use. The fast duplex scanning capabilities of the ScanSnap, combined with the automatic eliminatation of blank pages, detection of color, and the ability to scan directly to the universally accepted PDF format provided Dr. Ahn with all the confidence he needed to ensure he’d made the right choice selecting the ScanSnap.

Fujitsu ScanSnap Scanning Solution Organizes while Saving Time and Money

Upon its arrival, Dr. Ahn quickly and easily installed ScanSnap and began archiving his own documents, research produced by other nuclear engineers, student papers, and former tests and lectures.

In the first month of the implementation Dr. Ahn converted roughly 10,000 pages into PDF documents. Within weeks Dr. Ahn’s office, once overflowing with paper, became neat and organized saving Dr. Ahn what he was most in need of – time. Finding archived tests, reports and research that used to take up to 15-20 minutes per file is now completed with a couple of keystrokes, enabling him to find even the most obscure document within seconds.

In addition to the significant time savings, Dr. Ahn is also saving himself and the tight-budgeted University of California several hundred dollars a semester. California’s recent financial crisis has necessitated that universities reduce expenses at rate of 8.5% annually. As a result administration has required that faculty members avoid distributing paper handouts as much as possible.

In the fall semester of 2004 Dr. Ahn taught a class of fifteen students and each one was assigned about 300 pages of supplemental reading in addition to their text. In the past these readings were photocopied and distributed in person which required a substantial time commitment and a financial burden to either the University or Dr. Ahn’s personal research fund. Now, thanks to the document scanner, Dr. Ahn is no longer required to fight over who pays for photocopies or waste time at the machine because he can quickly email students a PDF version of a reading or post the material to a university server.

The Fujitsu ScanSnap scanner has also made it easier for Dr. Ahn to post new research to his website, a must in this day and age. Until recently it was customary to publish thick research reports solely in paper format. That trend is changing and researchers are now receiving PDF copies, but that still leaves years of research that exists only in hardcopy or various file formats. With ScanSnap, Dr. Ahn was able to standardize all of the research on his website in a matter of minutes. “From the day that my Fujitsu ScanSnap arrived I have been impressed by the scanner’s functionality and durability. It can scan documents at high speeds so that I am not left itching with impatience,” said Dr. Ahn. “In my past experiences with flatbed scanners digitizing a stack of documents at one time was a daunting task. Now with ScanSnap I don’t feel like I’m taking on the world when scanning several documents. This scanner has reshaped how I manage documents, organize my office, distribute papers to students, post research and share information with colleagues. In less than a semester the scanner paid for itself in the cost of photocopies alone while freeing up hours that I would have spent searching for files or standing idle in front of a photocopy machine.”
